Call, Location & Vacation Schedule - Highly sophisticated, intuitive, web-based, affordable, platform independent, accessible from any computer or smart phone connected to the Internet, now being used by physician groups and hospitals all over the U.S. There is nothing to install, upgrades are automatic and included, and there are no licensing fees. Here is a brief summary of the current features:

  • Tools to be in control. Eliminate call, location and vacation schedule management as an impossible, thankless job.

  • Unlimited number of different schedules, types of call and work sites.. Separate schedules for different sites, specialty groups, or groupings of hospitals. Can be used by physician offices, hospitals or any group with complex schedules, and can be set up for physicians, midlevels, nurses, technicians, etc. Specific subgroups can be established for each individual column (call and location). Shared schedules can be established that automatically mirror each other.

  • Prevents conflicts. Work status cannot be changed to vacation or conference for someone on call, and a person cannot be put on call if he or she is out on vacation or conference for a full day. No more confusion because of outdated paper schedules.

  • Sophisticated reports and statistics. Updated immediately with every change. Totals for each type of call, each practice location and all hospital assignments (by day of week, weekday and weekend totals, and by the month), vacation (broken down by vacation, conference and medical leave), days worked, and days not working (for less than 1.0 FTE providers). Optional half-day vacations and conferences. Chronological listings by provider for call and sites. “Tool-tip” pop-ups provide totals for each site entry. Holidays and holiday weekends on call. Data for workflow planning. Optional: data for specific procedures. Optional: hours worked, call frequency and days off with 4-week rolling averages -- ideal for ACGME compliance.

  • Multiple customized views to group displayed data in the most useful ways for your needs, eg, hospital call, peripheral sites, individual coverage, vacation, conference and time out of the office.

  • Customized control of printed schedules. Select exactly which columns of data are to be printed, and whether to display names or initials in each print column. Can print using columns or a new standard calendar format, with complete control of which data is included.

  • Call schedule downloads. Call data for oneself or an entire group can be downloaded into an iCalendar program, which can then sync with a PDA.

  • Mobile viewing optimized for iPhone, Blackberry and other internet enabled portable devices.

  • Accessible by employees of the practice, affiliated professionals such as hospital personnel or answering services, from any computer with Internet access. Statistics are only available to physicians and those with administrative privileges. All access is password protected, except that "generic user" read-only access can be established for one-click login within an office network.

  • Coordination between physician offices and hospitals. If a hospital and physician groups with privileges at that hospital are subscribed, the physician practice schedules are automatically coordinated with hospital schedules. Single Day view for hospitals shows listing of all people for every type of call on a single day.

  • Contact Information for people on call available by clicking on the name of anyone in a call schedule, or from a menu listing everyone in any of the group's schedules.

  • Customized, coordinated templates for default, repeating rotations for all types of call and site assignments, which are then modified as needed to respond to ongoing scheduling needs and vacations. Templates ensure that default assignments are perfectly balanced, making it very easy to maintain parity as subsequent trades are made. This is a very powerful and timesaving tool. Can be set up for each type of call and location.

  • Change lockout. Option for each practice to set a number of months or days from the present when changes can only be made by someone with administrative privileges.

  • Display data for a single individual. Masks out data for everyone else, and highlights dates when that person is available to see patients in the primary office.

  • Range of dates updating. Allows anyone listed in the schedule or an administrator to change work status and call schedules for an entire date range at one time, with a single click.

  • Immediate notification. Any time a change is entered, all affected physicians plus all designated administrators are sent an e-mail showing both old and new data.

  • Workflow planning. Provides "Number available to see office patients" each day, each week and each month. The practice sets parameters for whether each type of call and each site option allows or precludes office patients being seen on that day.

  • Minimum working. Allows the practice to set a minimum number of people who must be available to see office patients for each day, and locks out further people from being out once the minimum is reached. (Can be overridden with administrative privileges.)

  • Request prioritization. Shows dates when vacation and conference status are first entered, which can help greatly if changes need to be negotiated.

  • Coverage. Option to allow a specific person to be designated as covering for someone who is out.

  • Variable call compensation. Option to allow a practice to establish what each type of call is worth, specific for each day of the week, and vary physician compensation according to accurate data provided by the Call Schedule module. Can factor in data from Procedures Tracking. This can do away with the need to maintain absolute call equality.

  • Administrative Tools. Easily edit recurring weekly or monthly assignments at different sites, by day of week, time of day, and week of the month. Add or remove people from schedules, optionally maintaining historical data. Manage columns, including hiding a column before or after a specified date.

  • Coordination with Paging Module. The Paging Module is used for customized text pages to be sent to one or more individuals at a time via pager or cell phone, with a searchable permanent log of all pages sent. When used with the Call, Location and Vacation Schedule module, it's very easy and fast to send pages directly to the proper person on call. The Paging Module also shows who is gone on vacation and is not available to receive pages.

  • Support includes customized set-up, training, detailed page-specific tutorials, e-mail and phone support, and assistance with customized template development. Our goal is always to provide same-day answers to your questions and whenever possible to resolve any problems or questions within several hours. Support is part of your subscription agreement and never costs extra.

We are pleased to be able to do live, interactive, online demos of the Call, Location and Vacation Schedule module. Like everything else in CustomEHR, this works equally well with Windows and Macintosh.
